A dynamic architecture firm is seeking an Office Manager on a direct hire basis. The Office Manager will be responsible for overseeing the day-to-day administrative operations, ensuring smooth workflows, managing office resources, and providing support to architects and project teams. The ideal candidate will have experience in an office environment, excellent communication skills, and preferably a background in architecture, construction, real estate, or a related industry, but is not required.
Key Responsibilities:
- Manage daily office functions, including office space coordination, equipment, and supplies, ensuring the office environment is well-maintained and organized.
- Provide administrative assistance to architects and project teams, including scheduling meetings, coordinating project timelines, maintaining office calendars, preparing project documentation, and assisting with proposals and presentations.
- Oversee relationships with office supply vendors, service providers, and external contractors. Manage and track office supplies, equipment, and materials, ensuring timely reordering and procurement for projects and general office use.
- Assistin the organization and management of physical and digital project files, ensure all files are properly archived and easy to retrieve when needed.
- Assist project managers with administrative tasks related to ongoing projects, including tracking project milestones, deadlines, and communications with clients and contractors.
- Support budget tracking for office and project-related expenses, including maintaining records of invoices, receipts, and purchase orders.
- Perform other duties as needed to ensure smooth operations of the firm, including assisting with special projects.
Qualifications:
- Proven experience as an Office Manager or in a similar administrative role, preferably in an architecture or design firm.
- Strong organizational and multitasking skills with keen attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in office software, including Microsoft Office (Word, Excel, PowerPoint) and/or Google Suite.
- Ability to handle confidential information with discretion and professionalism.
- Strong problem-solving skills, flexibility, and ability to manage multiple tasks in a fast-paced environment.
- A basic understanding of architecture, design, or construction processes is preferred but not required.
- Knowledge of office management systems and procedures.
